Folders and Documents Management

  • Locate documents and folders by searching for specific data in one or more attributes for a particular item type. You could also search All Item Types for all documents pertaining to a given customer.
  • Check out a document or folder which ensures that only one user is working on it at a time. When you check out a document or folder, the folder or document button displays a checkmark.
  • Add items to a folder.
  • Remove items from a folder, which does not delete them from your system.
  • Delete documents or folders from your system if you have the appropriate privileges.
  • Suspend a document for a period of time or until a particular time and date.
  • Suspend a folder for a duration of time or until a particular time and date. You can also suspend a folder until it receives one or more documents belonging to a specified item type (for example, a claim document plus a medical report).
  • View or change the priority of a document or folder that is on a worklist or in a search results list that is on a process. Changing the priority of a document or folder moves it up or down in the processing order in a system-assigned worklist. Documents or folders with higher priority values are processed before those with lower values.
  • Copy or move items from an item list to a folder, or from one folder to another. Copy or move only creates a reference or link to the actual item; these actions do not make new copies of the item.
  • Print documents or folders when you have them displayed or selected in an item list window.
  • Use drag and drop for moving and copying documents and folders. You can only drop items into a folder; you cannot drop them in a search results item list or a worklist.

Annotations

Create annotations to call attention to certain areas of a document or to record important information. These annotations are not inserted into the document, but are placed on a layer above the document. This process enables you to annotate a document without losing the integrity of the original. You can use the following tools for making your annotations:

  • Pen
  • Highlighter
  • Rectangle
  • Circle
  • Line
  • Arrow
  • Text
  • Stamp
  • Sticky notes

*It is also possible to move annotations or change their appearance.

Document Routing

In Content Manager, documents and folders can be routing along a work process, proceeding from step to step as work on them is completed.

  • Items can be move to a different process.
  • Items can be removed from a process for an item.
  • Items can be suspended.
  • Suspended items can be reactivated.
  • Item priority can be changed.
  • Item process information can be viewed.
  • Item history can be viewed in a log.

Document Search

  • Case sensitive searches.
  • Perform basic searches as the easiest way to locate documents or folders you want to see.
  • Retrieve a group of documents and folders with similar attribute values by using a wildcard character. You can substitute a question mark (?) for a single character, or an asterisk (*) for any string of zero or more characters.
  • Find documents faster if you choose the operators to use in the search carefully.

Importing and Exporting Documents

  • Import files into your system from different workstations or a local area network (LAN).
  • The system supports a variety of data formats for files that you import, and your system administrator can define additional formats.
  • Export documents stored in your Content Manager system to your workstation or LAN.
  • Export documents to use them in another application or to move them to another location.

  • Single documents scanning into Content Manager.

Customization of Client for Windows

  • Customize the look and behavior of your Client for Windows by setting certain preferences.

Accessibility

There are accessibility features to help a user who has a physical disability, such as restricted mobility or limited vision, to use software products successfully. These are the major accessibility features in the Client for Windows:

  • Use screen-reader software and a digital speech synthesizer to hear what is displayed on the screen. You can also use voice recognition software, such as IBM ViaVoice, to enter data and to navigate the user interface.
  • Operate all features using the keyboard instead of the mouse.
  • Magnify what is displayed on your screen.
  • Choose to disable animation.

  • Search with simple parametric or advanced boolean search options across one or multiple content repositories with no client software requirements at the desktop other than a standard e browser.

  • Copy/Cut function of individual pages within the applet viewer with appropriate privileges.
  • Annotations can be added and viewed.
  • A note to the document and folder note log can be added.
  • Document versions can be viewed.
  • Items or documents can be printed.

  • Items or documents can be sent as e-mail attachments.
  • Items can be copied to an e-clipboard.
