COST/BENEFIT FOR YOUR DEPARTMENT
Cost Analysis
USC's Enterprise Imaging System's total cost is based
primarily on the cost of the Kofax Ascent Capture scanning software.
Content Manager is negated from the total cost of the USC Enterprise
Imaging System as this is provided by University Technology Services.
Below are sample prices of the Kofax Ascent Capture
software and hardware based on previous estimates. It is your responsibility
to contact your local Kofax Certified vendor for updated cost estimates.
NOTE: If your department requires minimal
scanning and imaging needs, please contact the University Technology Services Help
Desk at 777-1800 for information on alternative setups of Content
Manager without Kofax Ascent Capture.

Software
Scanning Workstation Software – The Kofax Ascent
Capture software is needed for all workstations conducting scanning.
The price is based upon the monthly scanning volume of each workstation
and includes three upgrades of the software.

* A 5K scan key is limited
to a single scan station. It may not have any workstations attached.
Please contact your vendor if you have further questions regarding
a 5K scan key.
Non-Scanning Workstation Software – A license
is required for each non-scanning workstation that will access Kofax
Ascent Capture software. The non-scanning workstation software costs
>$3,000 per workstation.
Release Scripts – A release script is required
for each scanning workstation to release scanned images from Ascent
Capture into Content Manager. Release scripts are charged 10% of the
scanning volume. For example, a workstation with a monthly scan volume
of 25,000 would be assessed a release script charge of >$300.
Hardware
Scanners range in cost from $2,500 - $9,000.

Adrenaline Board and Cables – The Kofax Adrenaline
Board is required for all scanners. The cost of the board and cables
is approximately $1,500.
Installation and Support
Installation Fees – The Kofax system must be installed
by a certified Kofax technician - please contact your vendor for the current rates.
Phone support and maintenance – The cost of phone
support and maintenance are negotiated between you and the vendor.
The cost is usually a percentage of the software cost of your system,
e.g. 18% of scanning volume.
On-site support and maintenance – On-site support
and maintenance is negotiated between you and the vendor. The cost
is usually the same hourly rate as the installation.
Benefit
USC Enterprise Imaging System vs. Laserfiche
In 2003, the Registrar's Office spent $52,660 on Laserfiche,
a leading content management system. Financial Aid, the Graduate School,
the Bursar and the Registrar's Office spent a combined total of $152,000
on Laserfiche in 2003.
If the Registrar's Office had the USC Enterprise Imaging
System, the cost for the most expensive scanner and the highest scan
volume would have been approximately $34,000. This is almost $19,000
less than the cost for Laserfiche. Over a 5 year period, they could
realize a savings of over $100,000 by using USC's Enterprise Imaging
System.
