How do I send mail to someone who is not using
GroupWise?
Type the complete address in the To: field. For example:
username@anywhere.com

How do I create a folder?
- Choose File from the menu commands and select
New, then Folder.
- Choose the type of folder you want to create and press
Next.
- Type a name for the new folder.
- Click Up, Down, Right, or Left to position the folder
where you want it in the Folder List and click Next.
- Type a description for the folder and click Next.
- Press Finish.

How do I move an item to a folder?
Select the item and drag it to the folder.

How do I set a recurring appointment?
- Choose the Calendar folder from the folder list.
- Double click in Appointments.
- Fill in the appropriate information.
- Click on the calendar icon beside the Start Date field
(or select Actions, Auto Date from the menu commands). The
Set Date window will appear.
- Click on Select Recurring. The Auto-Date window will
appear.
- Select:
By Example lets you schedule events on the same day every
week, the same day each month, or periodically.
By Formula lets you enter the scheduling information in text
format.
By Dates lets you select specific days from a year calendar.
- If you choose By Example:

Select the Range you want the item to appear.

Select the Month(s) you want the item to appear.
-
Select Days of the Week, Days of the Month, or
Periodic from the pop-up list. For example: To set a
recurring item for the 3rd Tuesday of each month, select
Days of Week. To set a recurring item for the 21st of each
selected month, select Days of Month. To set a recurring
item for every 10 days, select Periodic.

Complete the information.

Press OK when complete.
- If you choose By Formula:
- Select the Range.
- Enter the Formula Text.
- Press OK when complete.
- If you choose By Dates:
- Click on the date(s) you want the recurring
appointment/note/task to appear on the calendar.
- Press OK when complete.

How do I tell whether someone opened my message?
Properties lets you check the status of any item you've
sent. For example, you can see when an item was delivered
and when the recipient opened or deleted the item.
- Select the Sent Items folder.
- Double-click the item to open it and choose the
Properties tab.

With the item closed, select the item and choose the
Properties icon from the toolbar.
or
With the item closed, select the item and choose File,
Properties.
- Press Close when you have completed viewing the
properties.

How do I create a Vacation Rule?
You can create a rule in GroupWise that automatically sends
a reply email to incoming messages letting people know that
you are out of the office. Although not difficult to create,
if a vacation rule is not created properly a looping
incident can occur. This loop occurs when your rule sends a
reply back to you over and over. This will generate
thousands of messages a day.
- Click Tools, Rules, New.
- Type a name in the Rule Name box, such as Vacation Rule.
- Click the When Event Is pop-up list, click New Item.
- Next to And Items Are, select Received. Make sure no
other item source is selected.
- Do not make any selections under Item Types.
- Use Define Conditions to add specific information to your
rule. The following are examples of using Define Conditions.
If you want to set up the dates during which the rule is in
effect. Click Define Conditions, click Delivered in the
first drop-down list, click On or After Date in the second
drop-down list, in the date field, select the date you are
leaving on vacation. Click the End pop-up list, click
And.
On the new line, click Delivered in the first drop-down
list, click On or Before Date in the second drop-down list,
in the date field, select the date you are returning from
vacation, click OK.
If you want to make sure you reply only to items that are
sent specifically to you (and not to list servers or
newsgroups). Click Define Conditions, if you have already
specified information in this dialog box, click the End
pop-up list, click And. On the new line, click To in the
first drop-down list, click [ ] Contains in the second
drop-down list, in the next field, type your name as it
displays in the To field of a mail message.
If you want to make sure that you do not reply to items from
yourself (possible through delayed delivery). Click Define
Conditions, if you have already specified information in
this dialog box, click the End pop-up list, click And. On
the new line, click From in the first pop-up list, click [x]
Does Not Contain in the second drop-down list, in the next
field, type your name as it displays in the From field of a
mail message, click OK.
If you want to reply to internal items only. Click Define
Conditions, if you have already specified information in
this dialog box, click the End pop-up list, click And. On
the new line, click From in the first drop-down list, click
[x] Does Not Contain in the second drop-down list, in the
next field, type @, click OK.
- Under Then Actions Are, click Add Action,
Reply.
The Reply dialog box is displayed, showing Reply to Sender
selected (you cannot select Reply to All). If you want your
reply to include the sender's original message, select
Include Message Received From Sender. Click OK.
- Type a message, for example:
I will be out of the office from September 3-September 10.
If you need assistance during this time, please contact John
Doe at extension 7-5555.
- Click OK.
- Click Save, verify that the rule has a check mark
next to it indicating that it is enabled,
- Click Close.
Rules that trigger a reply (such as this vacation rule) keep
a record of who a reply has been sent to, and make sure that
a reply is sent only once to that user.

How do I reset my GroupWise password?
Do you remember your password? If not, then you will need to
place a support ticket with the UTS Help Desk at https://helpdesk.uts.sc.edu
or by calling the UTS Help Desk at (803) 777-1800 or by
contacting your department/college GroupWise administrator.
If you remember your password and you want to change it,
then follow these steps:
- Choose Tools, then Options.
- Double-click on Security.
- On the Password tab, type your old password and press
Enter.
- Type your new password and press Enter.
- Retype your new password to ensure its correct and press
OK. Your password has been changed.

I will be out of the office and would like to check my
GroupWise mail using the Internet. Can I do this?
Certainly! GroupWise WebAccess lets you send and receive
mail messages, appointments, tasks, notes, and attached
files from your GW account. In addition, you can keep track
of your schedule with the calendar, download copies of
documents from document libraries you have access to, search
for times when participants will be available for a meeting,
and check your folders. The GroupWise WebAccess URL is
http://web.gwm.sc.edu.

How do I create an address book?
- Open the Address Book.
- Select File, New Book.
- Enter a name for the new address book.
- Press OK. The new address book is displayed as a tab.

How do I add contacts to an address book?
- Open the Address Book and select the book where you want
to add someone. (Note: Only GroupWise administrators can
add/remove entries from the Novell GroupWise Address Book.)
- Press the New button on the toolbar, select Contact and
press OK.
- Enter the first name, last name, and email address of the
person youre adding. Press the Add button located next to
the email address. Enter any other information you want to
save for this person, such as phone numbers, contact
information (located on the contact tab) or personal
information (located on the personal tab).
- Press OK.

How do I create a group, mailing list or distribution list?
- Click Address Book on the toolbar.
- Click the personal address book you want to add this
group to.
- Click New on the toolbar, choose Group, press
OK.
- Type a name for the group.
- Type comments, such as a description of the group.
- Click Members.
- Click To, CC, or BC , double-click or Ctrl+click and drag
the users and resources for your group.
- If the users you want to add are in a different address
book, click the address book on the Look in Address Book
drop-down list.
- To filter the list of entries by contacts, groups, or
resources, click an option on the drop-down list.
- To add an entry that is not in an existing address book,
click New Contact, fill in the information, click OK,
double-click the entry.
- Click OK twice.

I sent a message to someone by mistake. Can I get it back?
It depends. Did you send the message to someone on the USC
GroupWise system? If no, then you will not be able to
retract the message. If you did send the message to someone
on the USC GroupWise system, then the answer is yes you can
retract mail and phone messages provided they have not yet
opened the message. You can retract an appointment, reminder
note, or task at any time.
- Click the Sent Items folder in the Folder List.
- Right-click the item you want to retract, click Delete.
- Select the appropriate option.
- If you have selected to retract this item from other
recipients mailboxes, you can type a comment to the
recipients, explaining why the item was retracted.
- Click OK.
To see which recipients have opened your message,
right-click the item and click Properties.

How do I add my signature automatically to all items I send?
- Click Tools, Options, then double-click Environment.
- Click the Signature tab.
- Choose Signature.
- Type the text you want as a signature in the Signature
box.
- Choose a signature option.
- Click OK.

What is archiving?
Use Archive to save mail or phone messages, appointments,
reminder notes, or tasks to a designated database on a local
drive. Archiving items saves network space and keeps your
Mailbox uncluttered. For example, if you have important
items in your Mailbox that are not currently relevant to
your work, you can archive them. You can view archived items
whenever you need to. You can also unarchive any archived
item. Mail and phone messages, appointments, notes and tasks
automatically archive after an item is 90 days old. Archived
items are saved to the directory specified under Tools,
Options, Environment, File Locations. Items are normally
archived to a local hard drive, however, some
college/department network administrators allow message to
be archived to a network drive. Check with your local
college/department administrator or contact the UTS Help Desk
at https://helpdesk.uts.sc.edu or at (803) 777-1800.

How do I archive and unarchive?
To manually archive an item
- Select the item.
- Choose Actions, Move to Archive
or
Right click the item and choose Move to Archive. Items are
archived to the same folder name. If the folder does not
exist in your archive, GroupWise will automatically create
the folder for you.
To view an archived item, choose File, Open Archive from the
menu.
To unarchive an item
- Select the item you wish to unarchive.
- Choose Actions, Move to Archive
or
right click the item and choose Move to Archive. The item
will be returned to its original destination.

What are Frequent Contacts?
The Frequent Contacts book lists email addresses for people
you have previously emailed. When you send an email message,
the address is recorded in Frequent Contacts. When you email
that person again, type their name in the To field of the
message and GroupWise will automatically fill in their email
address from Frequent Contacts. You can add and remove names
from the Frequent Contacts book using the Add and Remove
buttons on the bottom of the screen.

What is the Sent Items folder and what is its purpose?
The Sent Items folder displays all sent items from the
Mailbox and Calendar. The Sent Items folder in versions prior
to GroupWise 6.5 was a query folder, which had some
differences from the current Sent Items folder.
The following is a comparison between the previous Sent Items
query folder and the current Sent Items folder.

Can I POP my GroupWise mail?
Yes. For on campus users, the GroupWise POP server for
Incoming and Outgoing messages is "mailbox.gwm.sc.edu". If
you are off campus, the Incoming server is still "mailbox.gwm.sc.edu",
but the Outgoing mail server would be your Internet Service
Provider (ISP). For example, mail.mindspring.com.

Why doesn't Eudora delete mail from my GroupWise account
after I have popped it?
The GroupWise Server can be set to either leave popped mail
on the server or delete it immediately. University Technology Services
chose to have mail left on the server so that attachments
which cannot be read on your local machine can be downloaded
to a second machine if necessary. You can set your Eudora
client so that it will move GroupWise messages to the Trash
in your GroupWise account, by setting Eudora (checking mail)
to "delete from server when emptied from trash", and make
sure that "Leave on server for..." is not checked. This will
move mail that is popped to the GroupWise trash, where it
will stay for the default setting of 7 days, along with
moving the mail to your local desktop Eudora program. After
seven days, the mail will get removed from GroupWise. To
change or check that setting, check in your GroupWise client
under Preferences / Settings, Environment, Cleanup.

How do I change the default font in HTML view?
If you set the default view as Plain Text, the Windows
system default font is used for your message text. However,
if you choose HTML as your default view, HTML tools become
available in your outgoing and incoming messages. You can
also choose a different default font for your outgoing
messages.
- From an HTML view, select the font style and size you
want to use as the default for your messages.
- Right-click any of the tools on the HTML toolbar, click
Set Current Font as Default.

To change the font in Plain Text view?
The recipient of this item will see the changes you make in
Plain Text view if he or she views the item in Plain Text
view. The change will be in effect for only this message. If
you want to change the default font for all message you
send, you will need to change the Windows system default
font.
- In an open item you are composing, click View, Plain
Text.
- Right click in the message box, choose Font.
- Click a font and a font style.
- Click a size.
- Click any other options you want to change, click OK.

How do I change the default font for all GroupWise messages?
GroupWise uses the Windows system default font for message
text. You can change the default, however, the change will
take place for message text in all Windows programs.
- Right click on the Windows desktop and choose Properties.
- Click on the Appearance tab.
- From the Item type drop-down box, choose Message box.
- Change the font and size as desired.
- Click OK.

How do I alphabetize the folders in my Cabinet?
There is no menu or button to automatically alphabetize the
folders in your cabinet. You can do this manually.
- Choose Edit, Folders.
- Use the Move Up, Move Down, Move Left and Move Right
buttons to move the folder to the desired location.
- Press OK
You can also move folders by dragging them in the Folder
List.

How do I save an e-mail message as a text file?
- In your Mailbox or Calendar, click the item you want to
save, click File, Save As.
- Ctrl+click the item and attachments you want to save.
- Select to save the item to disk.
- Type a filename for the item in the Save File As box.
or
Type a subject name in the Subject box.
- To save the item in a different directory than is shown
in the Current Directory text box, click Browse, then select
the new directory.
- If you are saving to disk, select Report Filename
Conflicts to be prompted before replacing a file with the
same name.
- Click Save, then Close.
Saved items remain in your Mailbox and Calendar as well as
being copied to the location you specify. Items saved to
disk are saved in WordPerfect* format with a .DOC extension
so that they can also be opened in Word. Attachments are
saved in their original format.

I'm using the Macintosh client. I can't open an embedded URL
link from within GroupWise.
Press the Command key while double clicking the URL link.

How do I type Foreign Characters into GroupWise e-mail
messages?
You can use the ALT key in combination with a 3-digit code
(a 4-stroke process for every character). Many foreign
characters along with their codes are listed below. If you
use this option, remember that on many PCs, you must use the
keypad on the right side of your keyboard rather than the
numbers across the top. It is also possible to use these
same keystroke combinations in other programs such as
Microsoft Excel.
Remember to hold down the ALT key while typing the code
number.

Can I set GroupWise so that I receive an audio notification
when a new incoming message is received?
Yes, there is a separate program that should get installed
into the GroupWise program group called Notify. When you run
it, a small globe icon will be in your lower right Task Bar.
Right click on it to go to Options, to change the options
for different audio responses. Please note that the Notify
program takes up system resources. It may slow down your PC.

How can I reply to only one person on a Listserv list, and
not the whole list?
When you reply to a message that was sent to you as a member
of a listserv list, GroupWise behaves like other email
packages. The reply message is sent to the listserv, which
sends the message to everyone on the list. To reply to only
the original sender of the message sent to the list, open a
new message (or forward the existing one) to the original
sender of the message. You will have to enter the e-mail
address from your address book, or cut and paste from the
original message.

Can I Archive Sent Items?
Yes, you can Archive messages that you receive and messages
that you have sent out.

Can you set GroupWise so that those who send you mail cannot
check to see when you have read the mail?
No.

How do you encode file attachments?
You do not need to encode attachments with GroupWise.
GroupWise includes many built in file viewers that allow you
to view many file types. To view an attachment without
opening it, right click on the attachment icon. Click on
View File. The very first time you do this, GroupWise will
generate the viewers available. You may want to save the
attached file to use or manipulate with your own installed
software such as Microsoft Excel or Word.

What is the MIME.822 attachment?
The Mime.822 attachment is a copy of the same message, but
in HTML message format. It is there to provide compatibility
with newer Internet e-mail clients such as Communicator and
Outlook. When you have that attachment with your message in
GroupWise, the message came from outside of the GroupWise
system.

How do I protect my computer from an email virus?
The GroupWise system contains a virus program called GWAVA
which checks all incoming email messages for viruses. If
GWAVA detects a virus, the email is deleted and a
notification will be sent to you explaining the message
contained a virus.

How do I save the email address of someone who sent me a
message?
The Frequent Contacts tab of the Address Book automatically
lists the users that you have recently sent messages to or
received messages from. You can place any of these people in
your Personal Address Book by dragging their name from the
Frequent Contacts book to the Personal Address book. Once
the person is in your Personal Address book, you can click
on the name, then click on Information, and enter additional
information for that person.

How can I save the email addresses of a list that I am on so
that I can mail to the same list of people?
- Open a message that was sent to the list and choose
Reply, then select Reply To All.
- From the new message, choose Address. You will see all of
the people listed in your address book.
- Select the address book where you want to save the new
group.
- Select Save Group and save the new group with a name.
- Select Cancel on the e-mail message if you do not want to
send it.

What is the search order for the GroupWise Address Book?
When filling in names of people you are sending GroupWise
e-mail messages to, the auto-completion will search the
Frequent Contacts Address Book first. It will then search
the System-wide GroupWise Address Book. You can add in other
Address Books to search by clicking on the File pull down
menu within the Address Book screen. Then click on Name
Completion Search Order. You can add in other books here.

I dont have a Frequent Contacts or Personal Address Book.
How do I get them back?
- Open the Address Book.
- Choose File, then Services. The Services tab will show
which Address Book tabs you have.
- Click Add to add the address books you don't have.
- The list should contain the following three Services:
Novell GroupWise Address Book
Novell GroupWise Message Store
Novell Personal Address Book
- You can remove extra ones (e.g., Microsoft) that you do
not use.
- Press OK.
- If you get a message telling you that the Service could
not be added until you exit GroupWise, close GroupWise and
reopen it.

I use AOL or MSN and cannot load WebAccess. Why?
Internet Service Provider versions of Navigator and Explorer
are not necessarily compatible with WebAccess. After
Netscape and Microsoft released their code, several ISPs
modified the code slightly and released these versions to
their clients. These versions look authentic and are
perfectly legal, but often cause problems loading websites,
including WebAccess. Once you have connected through your
ISP to the Internet, open a standard browser, such Internet
Explorer or Netscape to run WebAccess.
