GROUPWISE AT USC: AUTOMATIC CLEANUP AND ARCHIVING
Retention of Email Messages
Users are encouraged to archive items older than 90
days. Archiving will allow you to store items indefinitely
on your workstation hard drive. For more information, see
Archive (link to Archive).
Trash
Trash folder items are automatically deleted by the
GroupWise system after 7 days from the deletion date for any
department or college whose GW system is supported by Computer
Services. If your department or college GW system is supported
internally, check with your system administrator for their
policy on the automatic deletion of trash.
Archive
Users can save their GroupWise items (email and phone
messages and calendar items) indefinitely by storing them
on their workstation, or network server. This is called
"Archiving". Users
should contact their college or department’s network manager
before archiving to their network server.
To archive items in your Mailbox
- If you have not previously done so, specify the archive
directory in File Locations under Tools, Options,
Environment.
- Select the items in your Mailbox you want to archive.
- Right-click and choose Move to Archive.
(Note: You can also choose Move to Archive from the Actions
menu.)
To unarchive items in your Mailbox
- Click File, then Open Archive.

Click the folder list header drop-down list (above the
Folder List) and choose click Archive.
- Click the item you want to unarchive.
- Right-click and choose Move to Archive.
(Note: You can also choose Move to Archive from the Actions
menu.)
- Choose File, then Open Archive to close the archive and
return to the Main Window.
or
Click the folder list header drop-down list (above the
Folder List and displays Archive), then choose your user
name.
Unarchived messages are returned to the folder from which
they were archived. If the folder has been deleted,
GroupWise creates a new folder.
To see archived items
- In the Main Window, click File and choose Open Archive.
or
Click the folder list header drop-down list (above the
Folder List you are running in) and choose Archive.
- To return to your GroupWise account, choose your name
from the folder list header drop-down list.
